Caymore

Privacy Policy

Last updated 2 November 2026

Caymore Consulting, LLC (“Caymore”, “we”, “us”) arranges private travel and lifestyle management from Palm Beach, Florida. This policy explains what personal information we collect through caymoremanagement.com and the Caymore members portal, why we collect it, who we share it with and the choices you have. It applies to visitors to the website, people who send us an enquiry, and members and their guests who use the portal.

What we collect

Enquiries. When you use the contact form we collect your name, email address, telephone number if you give it, your area of interest and your message.

Members and their households. The portal is opened by invitation. For members we hold contact details (name, email, phone, home city), your sign-in credentials (held by our sign-in service, never by us in readable form), and everything you choose to put in your preference sheet: who travels with you and their dates of birth and passport nationality, how you like to travel and stay, dietary needs, allergies and other health notes, and the names, relationships, birthdays and anniversaries of the people who matter to you. If you upload documents we hold them: passports and identity documents, visas, insurance certificates and trip paperwork.

Card authorization. If you authorize Caymore to use a card for travel bookings we hold the cardholder name, billing address, the card number, expiry date and card type, the scope and ceiling you set, and your signature with the date, time and network address it was made from. We do not keep the card security code. See “How we protect it” for how the number is stored.

Children. Details of children (names, ages, dietary and health notes, identity documents) are given to us only by a parent or guardian who is a member, for the purpose of arranging travel. The website and portal are not directed at children under 13 and we do not knowingly collect information from them directly.

Automatically. Our hosting and sign-in providers record standard technical information: network address, browser and device type, pages requested, and the time of each sign-in. We use this to keep the service secure and to tell you if your portal is opened from a device or place you have not used before. We do not run advertising or analytics trackers.

Why we use it

  • To answer your enquiry and, if you become a client, to arrange travel and lifestyle services for you.
  • To make bookings with hotels, airlines, charter operators, villas, restaurants and other suppliers on your behalf.
  • To keep your itineraries, documents and preferences available to you and your advisor in the portal.
  • To charge, on your written authorization and within its limits, the costs of what you have asked us to arrange.
  • To secure accounts, detect misuse and keep an audit record of who saw and changed what.
  • To meet our legal obligations, including travel-seller regulation and tax and accounting rules.

We send marketing email only if you have asked for it, and every such email carries an unsubscribe link. We send text messages only with your written consent.

Who we share it with

Suppliers, only as far as each arrangement needs: a hotel receives the names and dates of your stay and any dietary or accessibility notes; an airline or charter operator receives passenger names, dates of birth and passport details where required; a card authorization is used only for the bookings you have approved.

Service providers who process information for us under contract: cloud hosting and database storage, private file storage, our sign-in and two-step verification service, our transactional email service, and Microsoft 365 for Caymore’s own mailboxes. They act on our instructions and do not use your information for their own purposes.

Family & friends guests you ask us to add to a trip see that trip’s plan only; flights, transfers, booking references, prices, proposals and identity documents are removed before anything is shown to them.

We do not sell personal information and we do not share it with advertisers.

How we protect it

All traffic to the website and portal is encrypted. Documents are kept in private storage that is never public; each download runs through a short-lived link issued only after the portal has checked that you are allowed to see that file. Dates of birth and passport details on the preference sheet, and card numbers on file, are encrypted at rest with keys held separately from the data. The full card number is shown only to your advisor, only on request, and each such view is written to an audit log; it is erased when you revoke the authorization. Sign-ins require a strong password and can be protected with two-step verification; sign-ins from a new device are reported to you. Caymore keeps backups, encrypted, for 35 days.

Because Caymore holds card numbers to make bookings on your behalf, Caymore is responsible for safeguarding them in line with the payment card industry’s standards.

How long we keep it

Enquiries: up to two years. Member accounts and portal content: for as long as you are a client and for the period afterwards that our legal, tax and travel-seller obligations require. Copies of passports and identity documents: you may delete your own uploads at any time; otherwise we remove them when they are no longer needed for travel we are arranging. Card authorizations: the signed record is retained; the card number itself is erased on revocation. Audit logs: at least one year.

Your choices and rights

You can see and change your preference sheet, documents and card authorization in the portal at any time, and ask your advisor to correct anything we hold. You may ask us for a copy of your personal information, ask us to delete it, or object to a particular use, by writing to [email protected]. We will answer within one month. Deleting information that is needed to complete travel already booked, or that we must keep by law, may not be possible until that need has passed.

California residents have the right to know what personal information we collect and disclose, to request its deletion, and not to be discriminated against for exercising these rights. We do not sell or share personal information for cross-context advertising. Requests may be made at the address above.

Residents of the United Kingdom and European Economic Area. Where we process your information to perform our agreement with you, that agreement is our lawful basis; where we hold health or dietary details, we do so with your explicit consent given when you enter them; otherwise we rely on our legitimate interest in running a secure service. Your information is held in the United States under contractual safeguards. You have the rights of access, rectification, erasure, restriction, portability and objection, and the right to complain to your local data-protection authority.

Cookies

The website sets no advertising or analytics cookies. The portal uses the session cookies needed to keep you signed in, set by our sign-in service, and our hosting network may set a security cookie. These are essential to the service and are not used to track you across other sites.

If something goes wrong

If we learn that your personal information has been accessed without authority we will tell you without undue delay and, where Florida law requires it, within 30 days, and we will tell you what we are doing about it.

Changes and contact

We will post any change to this policy here with a new date and, for material changes, tell members in the portal. Questions and requests: [email protected], Caymore Consulting, LLC, Palm Beach, Florida. See also our Terms of Use and Seller of Travel disclosure.
