Booking Terms & Cancellation Policy

Draft · 3 November 2026 · subject to attorney review

These terms apply to every booking Caymore Consulting, LLC (“Caymore”) arranges for you, alongside the Terms of Use and the Client & Membership Agreement you accept in the members portal. Where a supplier’s own terms are stricter, the supplier’s terms apply to that booking.

How Caymore books

Caymore acts as your agent. We arrange hotels, villas, flights, private aviation, yacht charters, ground transport, guides, restaurants and experiences from third-party suppliers in your name or on your behalf. The contract for each service is between you and that supplier; Caymore is not the carrier, hotel or operator and does not control their performance.

Before you commit to any booking we send a proposal that states the price, what is included, the deposit, the supplier’s cancellation window and any non-refundable amounts. A booking is made only when you approve the proposal in writing (email or the portal).

Prices and payment

  • Prices are quoted in US dollars unless stated otherwise and may change until the booking is confirmed. Supplier price changes after confirmation, such as fuel surcharges or tax changes, are passed on at cost.
  • Caymore’s advisory and management fees are set out in your membership or trip proposal and are separate from supplier costs.
  • Supplier costs and Caymore fees are charged to the card you have authorized in the portal, within the scope and ceiling you set, or invoiced to you for payment by wire. Every charge comes with an itemized receipt.
  • [ATTORNEY: whether client funds for travel must be held in a trust or escrow account under Florida’s Sellers of Travel Act, and the required wording, to be confirmed.]

Changes

Tell your advisor as early as possible. We will make any change the supplier allows and tell you the cost before confirming it. Changes to airline tickets, charters and peak-season stays are often restricted or carry fees set by the supplier.

Cancellations and refunds

  • Each supplier’s cancellation terms, as stated in your proposal, govern what is refundable. Deposits for private villas, yacht charters, safari lodges and peak-season hotel stays are commonly non-refundable.
  • To cancel, write to your advisor. The cancellation takes effect when the supplier confirms it; we pass refunds on to you within ten business days of receiving them from the supplier.
  • Caymore’s fees for work already carried out are not refundable. Where a trip is cancelled before planning has begun, we refund any trip fee paid in full.
  • [ATTORNEY: the refund and cancellation disclosures Florida requires to be presented before payment, to be confirmed.]

Travel insurance

We strongly recommend comprehensive travel insurance covering cancellation, medical care abroad and evacuation. Many supplier deposits are non-refundable, and insurance is the only protection against illness, weather and other events outside anyone’s control. Your advisor can introduce an insurer; the policy is between you and the insurer.

Documents, entry and health

You are responsible for valid passports, visas, vaccinations and entry requirements for every traveller, although we will tell you what we know and help you prepare. Suppliers may refuse travel without the right documents, and no refund is due in that case.

Events beyond our control

Caymore is not liable for loss caused by events outside its reasonable control, including weather, strikes, supplier insolvency, epidemics, government action and acts of war or terrorism. Where a supplier fails, we will help you make alternative arrangements and pursue refunds, but we cannot guarantee them.
